Tips for AI Import

Tips for AI Import

Below you will find tips on how to proceed with AI import and what to watch out for.

File Requirements

Upload Each Safety Data Sheet Separately

Each PDF file should contain only one safety data sheet. If a single file contains safety data sheets for multiple products, AI may mix up the information during import. Therefore, split the document into separate files before importing.

The Document Can Have a Maximum of 42 Pages

AI only processes the first 42 pages of a document. If important information appears after page 42, it will not be processed during import.

Upload Only One Language Version

If the document contains multiple language versions, AI may mix up information between the different languages during import and transfer it incorrectly.

File Quality

Use PDFs Without Passwords or Copying Restrictions

AI cannot process PDF files that require a password to open. However, it can usually process PDFs protected by other types of passwords or with restrictions on copying text. For the most reliable import, we recommend removing all passwords and copying restrictions beforehand.

Prefer the Original PDF Over a Scan

If you have the original PDF from the supplier, use it instead of a scanned document. With scans, AI must first convert the image into text. This increases the risk of errors, particularly in numerical data, CAS numbers and H-statements.

After Import

Check the Data and Revise if Necessary

Once the import is complete, the safety data sheet opens automatically. If the software detects that the information in the safety data sheet is not up to date, it will notify you and offer you the option to revise the safety data sheet.

During the revision, you can choose which sections you want to update. The software archives the original version and creates a new version of the safety data sheet. We recommend checking the data even after the revision.

If You Do Not Perform a Revision, Check the Important Data

We recommend checking the imported data, particularly in the following sections:

  • SECTION 2: Hazards identification
  • SECTION 3: Composition/information on ingredients
  • SECTION 9: Physical and chemical properties
  • SECTION 11: Toxicological information
  • SECTION 12: Ecological information

Help Us Improve AI Import

If the import does not go as expected, please let us know using the feedback option at the top of the safety data sheet. Your reports help us continuously improve AI import.
